Privacy Policy

AcceptMe (“AcceptMe”, “we”, “us”) helps students prepare for university applications — building a bank of personal stories, practising interview answers on camera, and getting feedback on application essays. Because that work is personal, we want to be plain about what information we collect, what we do with it, and what we never do with it.

The short version
We collect what we need to run the service: your name and email, the stories, essays, videos, and voice conversations you create while practising, and records of your payment. We use trusted service providers to store video, run voice conversations, and generate AI feedback. We do not sell your data, we do not show ads, and we do not use advertising or analytics trackers. Your practice content is yours — we use it only to give you feedback and show you your own progress.
Information we collect
Account information. When you sign up we ask for your first name, your email address, and a password. Your password is stored only as a secure hash — we cannot see it. Your first name is used to personalize the product, including how your coach addresses you.
Your target schools. During onboarding you can tell us which universities you're aiming for, so we can tailor practice questions.
Content you create. The heart of AcceptMe is the work you do in it, and all of it is stored in your account so you can review it and track progress: the stories you build in your Story Bank, including drafts and the competencies they cover; voice coaching conversations — Story Bank coaching happens as a spoken conversation with an AI coach, and we ask for microphone access first (you can type instead if you prefer); your audio is processed in real time to run the conversation, and what we save to your account is a transcript, so your story drafts can be built from it; interview videos — in interview practice, your camera and microphone record timed video answers, which are uploaded to and stored with our video hosting provider so you can play them back on your review page; and your written answers and essays, along with the feedback notes generated on them.
Payment information. Payments are handled entirely by Stripe, our payment processor. Your card number never touches our servers. We keep a record of the payment — the amount, currency, Stripe transaction identifiers, and the access period it purchased — for support and accounting.
Technical information. Like almost every web service, our servers keep routine logs (such as IP address, browser type, and pages requested) that we use for security and to diagnose problems.
Cookies. We use only the cookies the site needs to function: a session cookie so you stay logged in, and a security (CSRF) cookie that protects forms. We do not use advertising cookies, analytics cookies, or any third-party trackers.
How we use your information
We use your information to run AcceptMe: to keep your account working, save your stories and practice history, generate coaching and feedback on your essays and answers, process your payment and grant access, respond when you contact us, keep the service secure, and improve how the product works. That's it. We do not sell or rent your personal information, we do not use it for advertising, and we do not send marketing emails you haven't asked for.
AI feedback and how your content is processed
AcceptMe's feedback features are powered by AI services. To make them work, the relevant content is sent to service providers who process it on our behalf: essays and stories you submit for feedback are analyzed by an AI model (provided by Anthropic) that produces the coach's notes you see; voice coaching conversations are carried by ElevenLabs, which provides the real-time voice agent, and transcription services may be provided by Deepgram; interview videos are stored and streamed by Cloudflare Stream.
These providers act as our service providers: they process your content to deliver the feature and are not permitted to use it for their own purposes, such as advertising. AI-generated feedback is produced automatically and is advisory only — it is coaching to help you practise, not a judgment that affects your legal rights.
Who we share information with
We share personal information only with the service providers that make the product run, and only what each one needs:

Beyond service providers, we would disclose personal information only if the law required it, to protect the safety or rights of a user or the public, or as part of a business transition (in which case this policy would continue to apply to your data).
Where your data lives
Our application is hosted on infrastructure in the United States, and our service providers may process data in the United States and other countries. That means your information may be stored or processed outside Canada, where it is subject to the laws of those jurisdictions. We choose providers with strong security practices regardless of where they operate.
How long we keep things
Your account, stories, essays, videos, coaching transcripts, and practice history are kept while your account is active, so your progress is always there when you come back. Payment records are kept as long as accounting and tax law require, and server logs are kept briefly for security and troubleshooting.
If you ask us to delete your account, we will delete your personal information and content, except for records we are legally required to keep (such as payment records).
Your rights and choices
You can access and edit your stories, essays, and practice history directly in the product at any time. In addition, Canadian privacy law (PIPEDA and, in British Columbia, PIPA) gives you the right to ask us what personal information we hold about you, to correct it, and to withdraw your consent to our handling of it. If you are in the United States, your state's privacy law may give you similar rights of access and deletion. Wherever you are, the process is the same: email hello@acceptme.io and we will help — including deleting your account and its content entirely if that's what you want.
If you are not satisfied with how we've handled a privacy concern, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Students and minors
AcceptMe is built for students preparing university applications, and we know many of our users are in their final years of high school. If you are under the age of majority where you live, you should have a parent or guardian's permission to use AcceptMe — and we're glad to answer any questions they have about how we handle your data at the email above. AcceptMe is not intended for children under 13, and we do not knowingly collect personal information from them; if we learn we have, we will delete it.
Security
We take reasonable and appropriate measures to protect your information: connections to AcceptMe are encrypted (HTTPS), passwords are stored only as secure hashes, every user's data is isolated from every other user's, and incoming service webhooks are cryptographically verified. No online service can promise perfect security, but we treat protecting a student's stories, essays, and recordings as a core responsibility, not an afterthought.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date. If a change meaningfully affects how we handle your personal information, we will let you know in the product or by email before it takes effect.
